Privacy policy
How TravRigo handles personal data, in line with India's Digital Personal Data Protection Act, 2023.
This is a plain-language policy written for transparency. It is not legal advice. Please have your own legal adviser review it before relying on it. For any privacy question, write to support@travrigo.com.
1. Who this policy covers
This policy describes how TravRigo (“we”, “us”) collects, uses, shares and protects personal data when you visit travrigo.com, request a demo, or use the TravRigo software as a customer.
2. The data we collect
- Account data. Your name, email address, phone number, agency or company details and role when you sign up or request a demo.
- Customer data you enter. Your clients' contacts, leads, trips, quotations, invoices and documents. You are the controller of that data; we process it on your instructions and only to provide the service.
- Usage data. Device type, browser, IP address and product interactions, used to keep the service secure and to improve it.
- Payment data. Handled by our payment processor. We do not store full card details on our own systems.
- Job applications. When you apply via the careers page, we collect your name, contact details, role, experience, resume link and cover note to evaluate your application. We keep applications for up to 6 months and never share them outside hiring.
- Communications. Messages you send us, and the record of support conversations.
3. Why we use it
- To provide, secure and improve the TravRigo service.
- To send transactional messages — account, billing and product notifications.
- To respond to a demo request or support query you raised.
- To evaluate job applications you submit and contact shortlisted candidates.
- To comply with legal and tax obligations applicable in India.
- With your consent, to send product updates you can opt out of at any time.
We do not sell personal data. We do not use your customers' data to market TravRigo to them, and we do not use it to build profiles for anyone else.
4. Cookies and analytics
The travrigo.com website uses only what it needs: essential cookies for basic functionality, and — where enabled — aggregate analytics to understand which pages are useful. You can block cookies in your browser without losing access to the site content. The TravRigo application requires essential cookies to keep you signed in.
5. Sharing and sub-processors
We share data only with vetted service providers who help us run the service — for example cloud hosting, email delivery and payment processing — under contractual confidentiality and data-protection obligations. We may disclose data where the law requires it.
6. How long we keep data
We keep account data for as long as your subscription is active and for a short wind-down period after it ends so you can export your records. We keep invoices, tax records and the audit trail for the period Indian tax and company law requires — currently eight years for the relevant financial records. Where you ask us to delete data that we are not legally required to retain, we delete it and remove it from backups on the normal backup rotation.
7. Your rights
Under India's Digital Personal Data Protection Act, 2023, as a Data Principal you have the right to
- access a summary of the personal data we hold about you and how we process it;
- ask us to correct, complete or update inaccurate data;
- ask us to erase data where we no longer need it for the purpose it was collected;
- withdraw consent you previously gave, at any time, by writing to us;
- nominate another person to exercise these rights in the event of death or incapacity; and
- raise a grievance with our Grievance Officer, and escalate to the Data Protection Board of India if you are not satisfied with our response.
If you are a customer of an agency that uses TravRigo — for example a traveller who booked a holiday — your request should go to that agency first. They control your data; we act on their instructions and will help them answer you.
8. How we protect it
- Encryption in transit for the website and the application.
- Role-based access, so a staff member sees only the trips and branches they are assigned.
- Audit trails on changes to bookings, quotations and invoices.
- Regular backups with tested restore procedures.
- Access to production data limited to the engineers who need it to run the service.
No system is perfectly secure. If a personal-data breach affects you, we will notify you and the Data Protection Board as required by law.
9. Children's data
TravRigo is a business tool and is not directed at children. Where a booking includes a child traveller, the traveller's details — name, date of birth, passport and visa information — are entered by the agency as part of arranging that trip, and are processed only to deliver the travel service. We do not use a child's data for marketing or profiling.
10. Cookies on this website
travrigo.com does not set advertising or cross-site tracking cookies. The site loads fonts from Google Fonts, which means your browser makes a request to Google's servers when a page loads. If you prefer that not to happen, block third-party font requests in your browser; the pages remain fully readable.
11. Changes to this policy
When this policy changes we update the date at the top of the page. If a change materially affects how we handle your data, we will tell active customers by email before it takes effect. Continued use of the service after a change means you accept the updated policy.
12. Contact and grievance redressal
For any question about this policy, to exercise a right, or to make a complaint, write to support@travrigo.com or use the contact page. We acknowledge privacy requests within seven days and aim to resolve them within thirty days.
Grievance Officer: TravRigo Privacy Team, support@travrigo.com. If we cannot resolve your grievance, you may complain to the Data Protection Board of India.
